What we collect
Contact details (name, email, phone) and anything you tell us in an enquiry or referral, which may include health-related information.
Why we collect it
To respond to your enquiry, assess suitability for our service, and, if you go ahead, to provide therapy.
Our lawful basis
We use your information to respond to your enquiry and, if you go ahead, to provide therapy. Under UK data protection law, we rely on taking steps towards, and then carrying out, an agreement with you (UK GDPR Article 6(1)(b)). When a professional refers you, we rely on our legitimate interest in handling that referral (Article 6(1)(f)).
For information about your health, we rely on the provision of health care by, or under the responsibility of, a professional bound by a duty of confidentiality (Article 9(2)(h), with Schedule 1, Part 1, paragraph 2 of the Data Protection Act 2018). Every clinician at Lumina Therapies is an HCPC-registered clinical psychologist.
Who else sees it
This website is hosted by Framer B.V. (Amsterdam, Netherlands), whose infrastructure runs on Amazon Web Services. Any transfer outside the UK is covered by the UK International Data Transfer Addendum.
When you send an enquiry, it passes through Microsoft Power Automate into Microsoft Lists, within our Microsoft 365 account, where only the people who need to see it can open it. Framer and Microsoft act as our processors under written data processing terms.
We share clinical information with your GP, insurer, solicitor or case manager only with your agreement, or where the law requires it, for example to protect someone from serious harm. We never sell your information or use it for marketing.
How long we keep it
We keep adult client records for 7 years after our contact with you ends, in line with standard guidance for independent practitioners. If you were under 18 when you saw us, we keep your records until your 25th birthday, or your 26th if you were 17 when treatment ended, in line with NHS guidance.
This reflects standard professional-body guidance (BPS), not a legal confirmation specific to Lumina Therapies.
Your rights
You have the right to access, correct, or ask us to delete your data, and to complain to the Information Commissioner’s Office (ico.org.uk) if you’re unhappy with how we’ve handled it.
